Introduction and Scope
This Privacy Policy explains how Filterventory ("Filterventory," "we," "us," or "our") collects, uses, and protects information in connection with our survey-to-service software platform (the "Service"). This policy applies to visitors of our website and to customers and their authorized users who access the Service. By using the Service, you agree to the practices described here. Filterventory is a business-to-business service. Our customers are companies, and the individuals who use the Service on their behalf ("Users") do so as employees or authorized representatives of those companies ("Customers"). Where this policy refers to "you," it means either a website visitor, a Customer, or a User, as context requires.
Information We Collect
Account and business contact data (name, work email, phone, company name, billing information). Customer-provided facility and building data ("Facility Data") — customer and site records, building and area details, HVAC unit information, filter bank and filter position data (sizes, types, MERV ratings, replacement intervals, service history), and service-visit records; may include the business contact information of a Customer’s own customers. Usage data (log data, device/browser info, IP address, pages viewed, features used, timestamps). Cookies and similar technologies to keep you logged in, remember preferences, and understand aggregate usage.
How We Use Information
To provide, operate, and maintain the Service (including generating filter schedules, due-date dashboards, and service-visit records from Facility Data); process payments and manage subscriptions; communicate about your account, service updates, and support; improve and secure the Service; comply with legal obligations and enforce our Terms. We do not sell personal information and do not use Facility Data to train products for anyone other than the Customer that submitted it, except aggregated/de-identified data used to improve the Service generally.
Facility and Building Data Handling
Facility Data belongs to the Customer that submits it. Filterventory acts as a service provider (processor): we process it solely to provide the Service, at the Customer’s direction, and not for our own marketing or sale. Customers are responsible for ensuring they have the rights to submit any Facility Data. We may use aggregated or de-identified data to improve the Service provided it cannot reasonably identify a specific Customer, site, or individual.
Data Retention
We retain account information and Facility Data while a subscription is active and for a reasonable period afterward for account recovery, legal compliance, and dispute resolution. Customers may request deletion of Facility Data upon account closure, subject to reasonable backup/legal retention.
Subprocessors
Hosting and infrastructure providers; database and storage providers; Stripe (payments); email delivery providers. Each is bound by contractual data-protection obligations. An up-to-date list is available on request at privacy@filterventory.com.
Security
Administrative, technical, and physical safeguards including encryption in transit, access controls, and regular review. No system is completely secure; use strong, unique passwords.
Data Sharing and Disclosure
We do not sell personal information or Facility Data. We may share with subprocessors to operate the Service; with a Customer’s own Users as configured; to comply with legal obligations; in connection with a merger/acquisition (with continued protection); or with your consent.
International Data Transfers
Filterventory is based in Canada; information may be processed or stored in Canada, the United States, or other countries where our subprocessors operate, with appropriate safeguards where required.
Your Rights
Depending on location/role you may access, correct, delete, or export certain personal information. Users should direct Facility Data requests to the Customer that administers their account. Account holders may contact us at privacy@filterventory.com.
Changes to This Policy
We may update it; for material changes we notify Customers by email or through the Service before it takes effect.
